Archive records in Base (up to 1 million records)

I. Intro
You can enable archive for tables to archive records that no longer need to be updated. Archived records can still be viewed and referenced, and up to 1 million records can be archived.
Use cases:
When an order, project, or contract is completed, its data can be archived to keep the base up to date while saving storage space. The archived data can still be checked anytime, meeting compliance requirements. Additionally, archived data can still be used in dashboards for analysis and reporting.
II. Steps
Enable archive
  1. Click the icon of the table you want to archive, select Enable Archive Table, and click Enable archive table again in the dialog.
Note: You will only see the Enable Archive Table option when there are more than 10,000 records in the table. After turning on archive, the table will support up to 50,000 rows, depending on your plan. For more details on limits, see Base row limit FAQs.

  1. Select records to archive.
Method 1: If this is the first time you're turning on archive, you need to first configure archiving conditions in the Archive records dialog, then click Archive.

Method 2: If archive is already enabled, you can right-click a record in the table and select Archive Record to archive the record.
Note: If archive is not enabled, you cannot right-click to archive records directly from a table.

View and manage archives
View archived records: Click the icon of the table and select View Archive.

Manage archived records:
  • Filter: Enter the archive, click Filter in the upper-right corner, and configure filter conditions as needed (Left image).
  • Archive records: Enter the archive, click Archive More in the upper-right corner, and configure conditions for archiving as needed (Right image).
Note: The conditions for archiving more records will only apply to records in the table and not records that are already archived.

Exit archive: Click the icon of the table and select Back to Records.

Refer to archived data in the dashboard: Click Dashboard in the lower-right corner of the base, click Add Block, and select the chart type. Select the table with the archive for Data source and select the option that includes archived records for From a range.

Unarchive records
Enter the archive, right-click the record, and select Unarchive.
Note: To select multiple records at once, select a record, hold down Shift, and select another record.

What actions are supported for archived records?
Function
Description
View records
Archived records can be viewed.
Filter records
Archived records can be filtered.
Advanced permissions
Roles can access archived records based on their permissions.
Dashboard
Archived records can be included in dashboard data.
Automation
Archived records cannot be updated.
Archived records cannot be used as triggers.
Archived records cannot be queried or referenced.
Edit records
Archived records cannot be edited.
OpenAPI: read and write
Reading and writing are not supported.
Formula calculation
Formulas in archived records will no longer be updated.
Unarchived records cannot reference or link archived records when using formulas.
Linked fields
Existing links will be saved in the archive table.
Archived data cannot be linked with records from other tables, and cannot be linked by new records.
Historical records
In edit history, only records that are unarchived in the selected version can be viewed.
You can't restore archived records by using edit history. You can copy the record from edit history and paste it into the current table instead.
Can archived records be referenced in new records?
No.
Can I view archive tables on my phone?
You can only view archived records that were shared with you, and not the entire archive table.
Can I view the details of archived records?
Yes.
Can I share archived records?
Yes.
Can I export archived records?
No. You need to unarchive the records first before you can export them.
