Base advanced permissions FAQs

5 min read
After my paid plan expires, will advanced permissions that were configured be affected?
The advanced permissions already set in the base will not be affected, but you may be restricted from editing or adding new settings that are no longer in your plan.
After turning on advanced permissions, will the permissions of collaborators be affected?
Yes, you need to reconfigure permissions for collaborators, otherwise they will not be able to access the base.
How many custom roles can be added in advanced permissions?
50.
Why can't I find the advanced permissions button in the base?
It could be due to the following two reasons:
  • Bases inserted into a document or spreadsheet do not support the advanced permissions feature.
  • Only the base owner and collaborators with manage permission for the base can access advanced permissions.
Who can turn on, edit, and turn off advanced permissions?
The owner of the base and collaborators with manage permissions can turn on, edit, and turn off advanced permissions.
When setting advanced permissions for records, what field types can be selected as conditions?
Single option, multiple options, person, flow, and created by fields, as well as formula and lookup fields that have one of those field type data as output. There is no limit on the number of filter conditions that can be set. Formula fields must match the format of the field that is referenced.
Note: The output of formula fields must be the same type as the referenced field. Formula fields cannot be selected under the following conditions.
  • If the base was created a long time ago.
  • Total number of formula and lookup fields in a table exceeds 100.

If a user belongs to multiple permission roles, which advanced permissions will apply to them?
The permissions granted to the user will be a combination of the highest-level permissions from each group. For example:
Member's roles in advanced permissions
Permissions in effect
  • In role A, users can edit the first three records in the table, but can't view the remaining records.
  • In role B, users can only view all records in the table.
  • The user can edit the first three rows of a table, and can view all records.
  • In role A, users can edit all fields and records.
  • In role B, users can edit records they have created.
  • The user can edit all fields and records.
  • Role A: Users can only edit records they have created.
  • Role B: Users can only edit records tagged Task in progress.
  • The user can edit records they've created and records tagged Task in progress.
I have manage permissions for a base. Why does it say I don't on my mobile app?
Upgrade your Lark app to version 5.7 or above and try again.
Can I configure permissions for bases inserted into Docs or Sheets?
No.
Why can't I find the group I want to add to a role in advanced permissions?
This may be because you are not in the group. When adding a group to a role in advanced permissions, only groups in which you're a member can be added.
