Will using workflows count towards the automation run limit?
Yes. The automation run limit applies to both workflows and automations.
What are the permission restrictions when using Workflow in Base?
  • When advanced permissions are not turned on, users with edit and manage permissions can create, view, edit, delete, activate, and deactivate workflows.
  • When advanced permissions are turned on, only users with manage permissions can create, view, edit, delete, activate, and deactivate workflows.
Note: Users without the required permissions can't see the button for creating a new workflow nor see existing workflows in the left menu bar.
  • External users (those who do not belong to the same organization as the Base owner) can't activate or deactivate workflows.
  • If external users have the required permissions, they can create new workflows and configure them. Externa' users' configurations can be saved, but they can't activate workflows.
  • External users can delete deactivated workflows but not activated workflows.
  • If the workflow uses the configurator's information such as their email, other users won't be able to modify this workflow.
How many workflows can be created in a base?

Are configurations made to a workflow automatically saved?
  • When the workflow is not activated, node configurations will be automatically saved, but they will not be automatically activated. Even if you close the configuration pane of a node, or switch to other pages (such as tables, dashboards, and other workflows.), your configurations will be saved.
  • When the workflow is activated:
  • Your configurations are automatically saved, but not activated, if you stay on the workflow configuration page (for example, by going to a different node). You must click Save and Activate in the upper-right corner for the new configurations to take effect.
  • If you leave the workflow configuration page without clicking Save and Activate (for example, by going to a table, dashboard, or another workflow), then the configurations you made will not be saved.
What are the main differences between workflows and automations?
  • Workflow supports conditional branches (If/Else actions) and a configuration page that supports zooming in/out and moving. It is more suitable for more complex, multi-step processes.
  • The button for creating a new workflow is in a different location.
  • Workflows don't support the When a button is clicked trigger; the Update records with AI action; actions related to the Lark app such as creating events, tasks, or groups; or calling automation extensions.

How many levels of If/Else action nodes can be added to a workflow?
There can be up to ten levels of If/Else action nodes. For example, there are six levels of If/Else actions in the following image.

How many conditions can be added to an If/Else action node?
10 conditions. As shown in the image below, a condition consists of field(s), operator, and value(s). In total, 10 conditions linked by And or Or logic operators can be added.

Can the two branches under the If/Else action node be merged?
No.
Can the two branches under the If/Else action node be swapped?
Yes. Hover over the line below the If/Else node and click the Move two branches icon to swap the nodes for the Yes and No branches.
