Row and column permissions and their effect on forms and formulas

This article explains the row and column permissions that can be configured in advanced permissions, as well as the impact that these permissions have on the use of forms, formula fields, and Lookup fields.
1. Row and column permissions in advanced permissions

Can edit: Records related to members themselves
  • Choose whether members can add or delete records.
  • Choose whether members can edit records created by members themselves or following fields contain members' own records.
  • Choose whether members can view records that are unrelated to them.
  • Choose whether members can view, edit, and add all or specified field content.

Can edit: Content of specific fields
  • Choose whether members can add or delete records.
  • Choose whether members can view, edit, and add all or specified field content.

Can edit: Custom range
  • Choose whether members can add or delete records.
  • Choose whether members can edit or delete records that meet filter conditions.
Note: Currently, only Single Option, Multiple Options, Person, and Created By are supported as filter conditions
  • Choose whether members can view remaining records.
  • Choose whether members can view, edit, and add all or specified field content.

View only:
  • Select whether members can view specified records and fields.

Field permissions (column permissions)
All field content can be edited: Members can view and edit all field content.

Custom permissions:
  • Can view: Members can view all data in the selected fields.
  • Can add: Members can add new records to selected fields.
  • Can edit: Members can edit existing records in selected fields.
Note: There is a progressive relationship between these 3 permissions, namely:
  • Can view permission is necessary to add a field
  • Can view and can add permissions are necessary to edit a field
Note:
  • When you select Can add record, you can choose which fields can be filled in when a new record is added.
  • Add fields: Which fields can be filled in when a user adds a new record.
  • Edit fields: Which field content can be edited after the new record is added.
  • When you select Can delete, the range of records that can be deleted by the user is the same as the range of records that can be edited.
2. How advanced permissions affect forms

Applicable scenarios
One-way/two-way link fields
  • Form view: When users enter details in form view, they will only see and select linked data from the grid for which they have permission to view.
  • Sales departments can protect customer privacy by limiting what sales reps can see to only the customers they are responsible for when submitting order details.
  • Forms shared via link: When users fill in a form shared via link, they can only see the index field of the linked content.
  • When distributing office supplies, operational data, such as inventory level, is kept private, so employees can only see the name of items.
Formula fields
Form view: When users enter details in form view, if they have permission to view the source data involved in a formula calculation, they can see the calculation result of the formula.

Forms shared via link: When users fill in a form shared via link, all users can view the complete calculation result.
When filling in an order, someone without access to the product list can still see the order's total price, which is derived from a formula field.
When single option / multiple-options fields refer to the options of other data tables
Form view: When users enter details in form view, they can only view and select the options they have permissions for.

Forms shared via link: When users fill in a form shared via link, they can view and select all options.

3. How advanced permissions affect formulas and Lookup fields
If users don't have permission to view the source data used in a formula calculation, they won't be able to view the complete calculation result.
