Use version management in Docs

I. Intro
Regular changes to your documents can make it difficult to keep track of important versions. With version management, you can easily save a version for future reference and generate a link to share it with others. This ensures that you always have access to the version you need while allowing collaborators to continue updating the original document.
Note:
  • For saved versions, you can only check the content of them, not edit or comment.
  • You can only save versions on the Lark desktop app or the web version, but you can view or manage versions on any device.
II. Steps
Save a version

Notice: Users with edit permission can save document versions.
  1. Open a document, click the ··· icon in the upper-right corner > Save as Version.
  1. Enter a name in the pop-up window and click Confirm.

View a version

Notice: Users with view permission can view document versions.
  1. Open a document, click the ··· icon in the upper-right corner > View Versions.

  1. Click a version to open it.
  1. (Optional) Click the name of the current version in the upper-left corner of the version to switch to other saved versions.

Manage versions

Notice: Users with edit permission can manage document versions.
You can share, rename, or delete any version of the document.
Rename a version
  1. When viewing a version, click the ··· icon in the upper-right corner > Rename.
  1. Enter a new name in the pop-up window and click Confirm.

Delete a version
  1. When viewing a version, click the ··· icon in the upper-right corner > Delete.
  1. Click Delete in the pop-up window to delete the version and return to the document.

Restore a version
  1. Open a document, click the ··· icon in the upper-right corner > View Versions > Trash.
  1. Find the version you want to bring back and click Restore.
Note: You can only restore versions deleted within 30 days.

Share a version
When viewing a version, click Copy Version Link and send the link to others to share the version.

III. FAQs
Why can't I find the "View Versions" option in a document?
It might be either of the following cases:
  • The document doesn't have any saved versions yet.
  • The document was created in Docs 1.0 and doesn't support version management.
Who can view a saved document version?
Users with view permission for the source document.
Can I edit a saved document version?
No. Versions cannot be edited, commented on, favorited, or moved to a Wiki.
How do I request view permission for a document version?
Request view permission of the source document. For more information, see Request document permission for you or others.
When I send a version link to someone, why are the title and thumbnail for the original document?
Versions are part of the original document, so the title, thumbnail, and permissions of the document apply when you share a version link.
Is there a comparison between specified versions of a document?
No. You can view the edit history to check the updates in a specific version, or open versions in different windows to manually compare them.
