Add a user group or dynamic group as collaborators

Add a user group or dynamic group as collaborators

1 min read
I. Intro
🔖
Applicable scope: Instructions in this article apply to all document types in Lark Docs, including Docs, Sheets, Base, MindNotes, and uploaded files, as well as folders.
If you have collaborator management permission, you can add user groups as collaborators and assign collaboration permission for documents or folders to all users in the group.
Common scenarios:
  • You can give access and management permissions to a user group without adding users individually.
  • When you grant folder permission to the "Interns" dynamic user group, new interns will be automatically added to the group and granted access to the folder.
II. Steps
  1. In the sharing panel of a document or folder, search for the name of the user group or dynamic group and select it.
  • 250px|700px|reset
  • You can also click the + icon to open the Invite collaborators window, then click User groups. Select the user group or dynamic group you want to invite to be collaborators.
  1. Set permission for the new collaborators. You can select multiple user groups or multiple types of collaborators, and set their permission in a batch.
  1. Click Confirm > Done.

Note: Notifications cannot be sent to members of the user group when documents or folders are shared with them.
III. FAQs
Why can't I see the "User groups" option when selecting contacts?
An administrator must first create user groups or dynamic groups in the Lark Admin Console and you need to have view permission. If you don't have permission to view any user groups or dynamic groups in your organization, you won't see the User groups option when selecting contacts.
Why can't I find the user group or dynamic group I'm looking for?
You may not fall within the visibility scope for this user group or dynamic group. An administrator can set the visibility scope for a user group or dynamic group in the Lark Admin Console.
How many user groups can I add as collaborators?
You can add up to 200 group chats, departments, and user groups as collaborators. To learn more, visit Docs limit FAQs.
Is the user group or dynamic group visible to others in the collaborator list?
If a user has permission to view the document's collaborator list and permission to view a user group or dynamic group, they will be able to see the full name of that group in the collaborator list. If they don't have permission to view the group, they will not see the group's full name in collaborator list.
