I. Intro

Who can perform these steps: Primary administrators or administrators with Email permissions.
As an administrator, you can enable email approval for mailing lists to improve security. Once email approval is enabled for a mailing list, all emails must be approved by an approver before they can be sent to the mailing list. However, email approval can be bypassed. Emails sent by members who can bypass the approval process do not require approval.
II. Steps
Enable email approval for a mailing list
Go to the Lark Admin Console, then click Product Settings > Mail > Address Management > Mailing List.

If you are enabling email approval for a mailing list that has already been created, click Edit to the right of the mailing list to enter the editing page.

If you want to enable email approval for a mailing list during its creation process, click Create Mailing List.

On the mailing list creation or editing page, select Enable under Email Approval in the Permissions section.

Configure approval permissions
After you enable email approval, you need to set the Approver and Approval condition.
Note:
  • You can add up to five approvers.
  • If an approver's Lark account is suspended or deleted, their approver role will be transferred to their direct manager.
  • Under Approval condition, if you select Need to be approved by all approvers, emails must be approved by all approvers before they can be sent to the mailing list. If you select Can be approved by any approver, emails can be sent to the mailing list when any approver approves them.

You can also decide who can bypass the automatic approval process. Emails sent by members who can bypass the approval process do not require approval.
After completing the above steps, click Save to apply these settings.

Approve emails
Once you've enabled email approval for a mailing list, the approver(s) will receive a notification from the Lark Approval bot when an email needs to be reviewed.

The approver(s) can click the notification card to view the approval details and select Approve or Reject accordingly.

Once the email has been approved or rejected, the sender will receive a notification from the Approval bot.

The approver(s) can go to Workplace > Approval > Approval Center to view their approval history and check emails awaiting approval.

Do emails sent to a mailing list by an approver also require approval?
Yes, unless the approver has been added to the list of members who can bypass the approval process.
Do automatic replies sent to the mailing list require approval?
Yes, unless the sender has been added to the list of members who can bypass the approval process.
Do emails sent from a third-party email client also require approval?
Yes, unless the sender has been added to the list of members who can bypass the approval process.
What happens when an email is sent to two different mailing lists, only one of which requires approval?
The recipients on the mailing list for which email approval has been enabled will receive the email once it has been approved; the recipients on the other mailing list will receive the email straight away.
