I. Intro

Who can perform these steps: Primary administrators or administrators with "Storage" permission.
As an administrator, you can set storage limits for members or departments to make sure that the organization's storage space is reasonably distributed. Storage limits for members refer to the total storage capacity for Lark Docs, Messenger, Minutes, Mail, and so on. Members can distribute their storage quota across different features as needed.
Note: When the organization's total used storage exceeds the quota of the current plan, members will also see a notification that the storage limit has been reached, no matter whether they've reached their personal limit.
II. Steps

Important: Once you upgrade the storage management, it can't be undone. If you don't upgrade storage management, the existing Docs storage limit will apply. Messenger, Minutes, and Mail will have no storage limits, but only follow the organization's storage limit.
Upgrade storage management
  1. Open the Lark Admin Console and click Storage > Storage Limit Management.
  1. Click Upgrade Now.

  1. In the pop-up window, choose whether to keep the current storage limits, then click Confirm.
  • Keep: After the upgrade, you will keep the existing rules for members, user groups, and departments, as well as the quota. These can be modified at any time.
  • Reconfigure: The existing rules and quota will be cleared, and you will need to configure them again.
Once the upgrade is complete, you will be automatically redirected to the new Storage Limit Management page.
Set storage limits for members
  1. On the Storage Limit Management page, go to the Members tab and click Edit.
  1. Set the Storage limit of each member. For example, you can set it to 10 GB for every member. If a limit is not needed, you can select No limits.
  1. If some members need a different quota, click Add Allowlist to set allowlist rules. Select members, departments, or user groups, and set a storage limit or select No limits.
  • Note:
  • You can set up to 20 allowlist rules.
  • You can't set storage limits for dynamic groups.

Set storage limits for departments
Only one storage limit can be set for each department.
  1. On the Storage Limit Management page, go to the Departments tab and click Edit.
  1. Click Add Department. Select a department, then set a storage limit for that department. For example, you can set it to 50 GB per department. If a limit is not needed, you can select No limits.

Set storage limit notifications
You can set up a notification page that the member will see when they or their department reaches the storage limit. When a member's usage reaches 80%, 90%, and 99%, Lark will send a reminder respectively. The notification page will display the storage space owned by the member, the used capacity, relevant contacts, or guidance links.
  1. On the Storage Limit Management page, go to the Storage Limit Notification Settings tab
  1. Go to Select a type and select Members or Departments to set storage limit notifications for them.
  1. Click Edit.
  1. Select the notification type and preview the effect on the right:
  • Show founder and 2 recently added primary administrators: The founder and the two newest primary administrators will be displayed on the notification page. You can't modify this option.
  • Show specific members: Members selected here will be displayed on the notification page. You can select up to 10 members.
  • Show URL: Enter the title and URL of the webpage you want to display on the notification page.
  • Members who receive the notification can contact the given names or click the given link to get more help.

III. About allowlist rule priority
Scenario 1: A member hits multiple allowlist rules
When a member simultaneously hits multiple allowlist rules, the rule with the highest storage limit will be applied.
For instance, administrators have set two allowlist rules for Member A with storage limits of 20 GB and 10 GB respectively. Then Member A's storage limit will be 20 GB.
Scenario 2: A member belongs to a department and a user group, and there are different allowlist rules for the member, department, and user group
In this case, the priority of allowlist rules will be member, user group, then department.
For instance, Member A belongs to Department 1 and User Group 1; Member A's allowlist rule has no limits, the storage limit for User Group 1 is 100 GB, and the limit for Department 1 is 200 GB. Then Member A will have no storage limit.
Scenario 3: A member belongs to multiple user groups or departments at the same level, each with different allowlist rules
In this case, the rule with the highest per-person storage limit takes priority.
For instance, Member A belongs to User Group 1 and User Group 2, the per-person storage limit for User Group 1 is 10 GB and the per-person storage limit for User Group 2 is 20 GB. Then Member A's storage limit will be 20 GB.
Scenario 4: A member belongs to multiple departments at different levels, each with different allowlist rules
In this case, the rule of the lower-level department takes priority over that of the higher-level department.
For instance, Member A belongs to both a level-2 department and a level-3 department, the storage limit for the level-2 department is 200 GB, and the storage limit for the level-3 department is 50 GB. Then Member A's storage limit will be 50 GB.

V. FAQs
After setting a storage limit for all members, can the administrator also set individual storage limits for certain members?
Yes. You can add allowlist rules to set individual storage limits for certain members or user groups. Once set, the allowlist rules will take priority.
If a member reaches the storage limit set by administrators, can they continue using storage?
Yes. They can use the existing files but can't create or upload new ones. For instance, if a member has 2 GB of remaining storage and tries to upload a file with a size of 3 GB, they will be prompted that there is insufficient storage space and can't upload the file.
If a member has used more storage than the limit I'm going to set, can I still set the limit as an administrator?
Yes, and it will not affect how the member uses existing files. However, after you set the limit, the member will not be able to upload new files that will consume storage.
