I. Intro
Who can perform these steps: Primary administrators or administrators with "Files" permission.
Notice: Instructions in this article apply to all document types in Lark Docs, including Docs, Sheets, Base, Slides, MindNotes, and uploaded files.
As an administrator, you can manage all Lark document files through the Lark Admin Console. You can perform a variety of actions including filter out files, transfer file owners, batch delete files, or restore files.
When the organization's storage space is insufficient, you can delete unnecessary documents to free up capacity for members.

How to access

Search and filter
On the Files page, you can search all document files within your organization by file name, keyword, or file link. You can also filter by the type, status, owner's name, or phone number.
Note: 5,000 document files are displayed on each page.

Transfer ownership
- Click the ⋮ icon to the right of a file and select Transfer. Alternatively, select one or more document files and then click Transfer.
- In the pop-up, enter the name or phone number of the member you wish to transfer ownership to. Select the member from the search results and then click Confirm.
- Note: When transferring document files with multiple owners in bulk, if a document file's transferee happens to be one of the original owners, then that document file cannot be successfully transferred.
When you finish the transfer, the new owner will receive a notification from Docs Assistant.

Delete permanently
Important: Document files you delete permanently on the Files page will not enter Trash. After permanently deleting document files, you can restore them within 90 days through the Files page. After 90 days, the file data will be erased permanently and cannot be restored.
As an administrator, you can delete any document file. Deleting a document file on the Files page is equivalent to selecting Delete Permanently in Trash. To restore a document file, you'll also need to do it through the Files page.
- Click the ⋮ icon to the right of a file and select Delete Permanently. Alternatively, select one or more document files and then click Delete Permanently.
- In the pop-up, click Delete. The document file will be deleted and will have the status Permanently deleted.

Restore
You can restore document files that have the status Trash or Permanently deleted on the Files page.
- Click the ⋮ icon to the right of a file and select Restore. Alternatively, select one or more document files and then click Restore.
- In the pop-up, select whether to restore the document file(s) to the Previous owner or a New owner.
- If you select New owner, enter the name or phone number of the member and select them from the search results.
- Click Recover. The document file(s) will be restored to the member's My Space (Drive > My folder) or the wiki space where it was stored before deletion (or My Document Library).

Erase
You can erase document files with the status Permanently deleted on the Files page.
Important: Document files cannot be restored after being erased. Please proceed with caution.
- Click the ⋮ icon to the right of a file and select Erase. Alternatively, select one or more document files and then click Erase.
- In the pop-up, select I understand that erased files cannot be restored and then click Erase Permanently.
