Who can perform these steps: Primary administrators or administrators with "Storage" permission.
As an administrator, you can view the storage space taken up by Lark Docs, Minutes, Mail, Messager, and other products in the Lark Admin Console. You can free up space when some features take up too much space to ensure that Lark works properly.
II. Steps
View storage overview
Open the Lark Admin Console and click Storage > Storage Overview to find information such as the overview information of storage, usage reports, and members' use of storage.
  • Overview: Total storage that the organization currently has and the storage used by each product.
  • Usage reports: Changes in the storage used by each product during specific time periods. The storage data can be displayed by day, by week, or by month.
  • Note:
  • There is a one-day delay in the graphs in usage reports because they are generated based on the data until the previous day.
  • When the time range exceeds 90 days, data cannot be displayed by day. When the time range exceeds one year (52 weeks), data cannot be displayed by week.
  • Users using the most storage: The top 10 members that consume the most storage within the organization.

View member storage details
You can view the use of storage by the organization, the members of a certain department, or specific members, and export the reports by departments or by members to view them locally.
  1. On the Storage Overview page, click View Details.

  1. Click the dropdown list under Storage details and select the organization or a specific department to view details on the use of storage by members within the selected scope. You can also enter a member's name, email, or phone number to search for their usage details.
  1. (Optional) Click Export Usage Data to download the details by department or by member. After confirming the information in the pop-up, click Export.
  • Export by Department: Export the usage details of the organization's level-1, level-2, and level-3 departments.
  • Export by Organization Members: Export the usage details of all members in the selected departments and their sub-departments.

  1. (Optional) Download and view the files in the Admin task center.
Clean up storage space

Notice: Only administrators with permissions for the corresponding products (meetings, files, or email management tools) can clean up storage.
Administrators will receive bot reminders about insufficient storage when the organization's storage reaches 90% or higher.
You can open the Lark Admin Console, click Storage > Storage Management, and go to each product to free up the storage consumed by them.

Images, videos, local files, and folders sent in Messenger.
Plain text messages and Lark document links.
  • Files manually saved to Docs in Messenger.
  • Files uploaded, imported, or dragged and dropped into Docs.
  • Attachments such as images and videos inserted to Lark documents owned by members, as well as body text in Docs, Sheets, and Slides.
  • Note: Deleted attachments and text still consume storage because they stay in the document history. If needed, delete the entire document to release the storage.
  • Thumbnails of images and videos, as well as images, videos, and files owned by others that the member viewed.
  • Files from Docs linked to documents. The storage is only counted when files are uploaded to Docs.
  • Folders. The files in the folder consume storage, while the folders don't.
  • Synced blocks from other documents. They only consume the storage of the original document owner once.
  • Documents owned by others. Reading, editing, and sharing documents that others own don't consume one's storage.
Minutes files generated by recording a meeting, uploading a local audio or video file, and importing an audio or video file from Docs.

Can members view their personal storage space?
No. Only the primary administrator or administrators with Storage permission can view the details of members' storage consumption.
