The above numbers refer to the number of public mailboxes that each tenant can create. To upgrade your Lark Plan or for more information, contact Support or your Customer Success Manager. The Lark Basic plan supports only specific countries and regions.

Who can perform these steps: Primary administrators or administrators with Mail management permission.
As an administrator, you can create public mailboxes to allow multiple members to process and send emails together and share the mailboxes. By utilizing the IMAP/SMTP service, users can send and receive emails from external systems such as Jira through the Lark public mailbox.
Note: To use public mailboxes, confirm the domain's DNS resolution is switched to Lark Mail's MX records.
II. Steps
Create a public mailbox
  1. Go to the Lark Admin Console, then click Product Settings > Mail.
  1. Select Address Management > Public Mailbox > Create.

  1. On the Create public mailbox page, enter the Name and Address of the public mailbox, then select the members who can use the public mailbox.
  • Note: A maximum of 400 members can be added. Members in departments and user groups are counted separately. For example, adding a department with 10 members will count as 10 members added to the public mailbox.

  1. Enable the IMAP/SMTP service as needed. If you enable the IMAP/SMTP service, you can use a third-party platform to access the public mailbox and send and receive emails.
  • Note: The IMAP/SMTP parameters will be displayed after the public mailbox is created.

  1. After completing the above steps, click Create.

Once the administrator has created the public mailbox, the corresponding members can use the public mailbox.

  1. Under Public Mailbox, find the desired public mailbox and click Edit.
  • Note: The public mailbox must have been successfully created and the IMAP/SMTP service must be enabled.

  1. The IMAP/SMTP parameters for the public mailbox will be displayed on the editing page. To reset the password, click the Reset icon under IMAP/SMTP password.

What is the difference between a public mailbox and a mailing list?
A public mailbox refers to an email account that is accessible to multiple users, rather than a private, individual email account. Users within the scope of the public mailbox can access the public mailbox through the Lark app to perform actions including sending, receiving, and managing emails. A public mailbox has a main address and can have multiple alias addresses.
A mailing list refers to an email address with distribution functionality. However, it is not an email account and cannot store emails independently. Administrators can add departments, user groups, individual users, and other mailing lists to the list. When an email is sent to the mailing list address, it is automatically distributed to all the members' email addresses. Members can also send emails using the mailing list address, and the sender and recipient will see the mailing list address as the sending/receiving address.
Why cannot members see the email entry on the app navigation bar when a public mailbox is opened for them?
Only members who have been assigned a business email address can see the entry to the email. If you only assign the public email to a member without assigning a business email, the email entry will not be displayed on the member's app navigation bar.
Can a public mailbox have a custom profile photo?
By default, a public mailbox displays the first character of its name as the profile photo and does not support replacing it with a custom image.
How can I check if a member is bound to multiple public mailboxes?
It is not possible to query this number.
