I. Intro
If your organization does not use Lark Mail service, Lark Mail lets you link your third-party business email account, so you can access and manage all your emails through Lark.
You can link business email accounts provided by Gmail, Microsoft 365, Zoho Mail, and more. However, you cannot connect personal email accounts such as gmail.com or outlook.com with Lark Mail.
💡
Important:
  • When you link your third-party business email account to Lark Mail, your email data will be synchronized. If you unlink it, your email data will be removed from Lark Mail.
  • You can only link one business email account, and each account can only be linked by one person.
  • If the organization has already activated the Lark Mail service, you cannot use this functionality. If you need to link your business email account, please have an administrator confirm whether the domain has been added to the Lark Admin Console.
II. Steps
  1. Click Email on the left navigation bar of Lark.
  • Note: If you cannot find the Email entry on the left navigation bar of Lark, it might be because your organization has not assigned an email address to you. And you cannot link other business email accounts in Lark. Contact the Admin to assign an email address to you.
  1. After opening the Email page, select the business email that you want to add. If you can't find the email service that you want, select Others.

  • If you select Gmail or Microsoft 365, follow the prompts to go to the browser to log in to the corresponding business email accounts.

  • If you select others, enter the email account and password as prompted on the page.
  1. After you log in to your business email account, you'll see Syncing emails [percentage] in Lark Mail. Once syncing is complete, you can use Lark Mail to view, manage, send, and receive emails.

Note: When you link a third-party business email account to Lark Mail, the existing email folder structure will be synced over. However, if you later make changes to the folder structure in the original third-party email account, those changes will not sync back to Lark Mail.

When I link other business emails in the Lark app, will synced emails take up Lark storage space?
Yes. When you link other business email accounts to Lark Mail, the email data will be synced to Lark after successful binding. These synced emails will occupy Lark storage space. Deleting emails in the Lark app will free up storage. Additionally, unlinking the account will clear synced email data.

Why does the message "Try different login options if you don't have a Microsoft 365 account" appear when I link my Microsoft 365 email?
It may be because that the MX value of the original Microsoft 365 email domain is not configured correctly. When linking a Microsoft 365 email account, Lark identifies the original email service through the MX value in the domain resolution. Incorrect MX configuration can also prevent the email service from sending or receiving emails properly. Confirm that the MX value for your original email domain is correctly configured and then try linking again.
Why do folders that didn't exist before appear when I link other email accounts in Lark?
When linking other email accounts in Lark, folders that were hidden in the original email app might become visible after synchronization. Log in to your original email app, check for hidden folders, and decide whether to keep or delete them as needed.
If I link other emails via IMAP, will marking emails as read, deleting them, or moving them to folders in Lark Mail sync these actions bidirectionally?
No. When linking other emails via the IMAP protocol, synchronization is one-way incremental. Actions such as marking emails as read, deleting them, or moving them to folders in the Lark app will not sync to the original email server. Similarly, actions performed in the original email app or web version will not sync to the Lark app.
How can I unlink another email in Lark?
In the Lark app, click your profile photo, select Settings > Email, and then click Unlink under the currently linked email account.
Can administrators view which members have linked and are using third-party email accounts in Lark?
No. If administrators want to monitor email usage status of members, we recommend activating Lark Mail service or migrating to Lark Mail. When using the Lark business email, you can view the email usage of members through the Email management feature.
When I link a third-party email account in Lark Mail, will the emails synchronized from the third-party email be deleted if the administrator clears emails from the backend?
No, emails synchronized from the third-party account will not be affected by the administrator's actions. However, these emails will be automatically removed if you unlink the third-party account.
