Who can perform these steps: Primary administrators and administrators with Attendance management permissions.
As an administrator, you can import offline overtime records into the Attendance admin console to calculate the working hours automatically according to overtime rules. This feature makes it possible to manage online and offline overtime data in one place with aligned rules.
II. Steps
  1. Open the Attendance admin console and go to Overtime Management > Overtime Records, and click Import.

  1. In the pop-up window, click Download template.

  1. Open the template file and fill in the overtime records of members accordingly, then save the file.
  • Phone number: Enter the phone number of the member, and the member should be within the group that you can manage, including members who have left.
  • Name: Enter the name of the member, which should match the above phone number's owner registered in your directory.
  • Department: Enter the department to which the member belongs.
  • Overtime date: Enter the overtime date. If the date conflicts with the overtime rules that you've set in Lark Attendance, it won't get imported. The format is 2024-01-01.
  • Overtime start/end at: Enter the overtime period. The calculation doesn't involve the time entered, but it's still required to make sure that there are no overlapping overtime records during this period, and the time span can't exceed two days. The format is 2024-01-01 18:00.
  • Overtime duration: Enter the overtime duration, which will be the source of the overtime count of the member. This field supports up to 2 decimal places.
  • Unit: Select from "minute", "hour" and "day". It should be consistent with the overtime rules.

    Important: Make sure that the information filled in is accurate. The overtime records in the sheet will be directly imported into the system and will be automatically calculated according to the rules.
    • The "Overtime duration" field takes the number in the corresponding column of the sheet directly, without being compared with the member's overtime request or clock-in data and recalculation.
    • When the "Conversion method" is "Overtime pay" or "Compensatory leave", the overtime duration will be automatically converted to the corresponding overtime pay or compensatory leave (compensatory leave will be automatically issued in the corresponding amount); when the settlement method is "record only", the overtime duration will not be settled as overtime pay or compensatory leave.

  1. Return to the Attendance admin console > Overtime Management > Overtime Records, drag the saved file into the previous pop-up window, or click Select files to upload and upload the file, then click Done to import it.
  • Note: You can download the error report for troubleshooting if the import fails. Fix the issue and delete the "Error cause" column and re-upload the file.

  1. After importing the file, you can view the data on the Overtime Records page. The source of the record will be displayed as Import.
  • Note: If there are no imported overtime records on the page, try refreshing the page.

  1. If you want to delete an imported overtime record, you can click Delete in the Action column of the entry. The overtime data of the member will be automatically updated accordingly. For example, the issued quota of compensatory leave will be automatically withdrawn.
  • Note: You can only delete manually imported overtime records; overtime records from other sources cannot be deleted.
