I. Intro
Lark Tasks is a task management tool which allows teams to organize, collaborate, and execute tasks. Tasks helps your team to structure their work and break down larger projects into individual steps.
II. Get to know the Tasks interface

There are four ways to view tasks using the Tasks navigation bar:
View by role
  • Owned: Tasks you're responsible for.
  • Subscribed: Tasks you've chosen to follow, allowing you to stay updated on task progress.
  • Created: Tasks you've created either for yourself or others.
  • Assigned: Tasks you've assigned to others.
Note: Tasks you find here are yet to be completed.
View by status
Completed: All completed tasks you've created, subscribed to, were responsible for, or assigned to others.
View all
All Tasks: All tasks related to you, including completed and unfinished tasks.
View by task list
Task List: A collection of tasks you and collaborators work on together for a particular project. Click to enter a task list you have permission to access and view all tasks within it.
III. What you need to know
Create a task
  • New task: Click New Task, type the task name, and press Enter. Click the task to open the details pane where you can set the task's due date and add a description.

  • Set task owner(s) and subscribers: When you create a task, you are set as the owner by default. To assign the task member(s), click your name in the Owner field and select the new owner(s) from the list of members or search for them. If you don't want to be the owner, deselect yourself. If you'd like other members to follow the task progress, click Add Subscribers and select the members from the list or search for them.

  • Complete and reopen tasks: After you complete a task, click Mark Complete. To reopen a completed task, go to Completed in the Tasks navigation bar and deselect the ticked task. Both the creator and owner can complete or reopen tasks. Subscribers will receive a notification when a task is completed or reopened.

  1. Recurring task: If you need to perform the same task regularly, set it as a recurring task. After the task is completed, a new task will be automatically created based on the recurring rule you previously set.

Add sub-tasks
Use sub-tasks to break up a task into smaller parts or to help divide up the work among multiple people. Sub-tasks are like independent tasks with all the same fields as a parent task, but are embedded within a parent task.
  • Add sub-tasks: Click a task to open the task details pane, and then click Add Sub-task.

  • Add owner: After creating a subtask, click the Add owners icon to open a list of members. Select a member to become the owner. You can add multiple owners for a subtask. In addition, you can select Task completed when anyone completes or Task completed when everyone completes depending on the type of task it is.

  • View subtask progress: On the task details pane, you can view the progress bar and completion status of each subtask. If you create and assign subtasks, you'll receive a notification when the owners complete their tasks.

Organize tasks
In Lark Tasks, you can use the following four tools to classify and manage tasks you are the owner of:
  • Filter: Click the Filter icon and specify conditions including the Creator, Subscriber, and Due Date to find tasks.
  • Note: Filtering with "and" is supported, meaning tasks that meet all conditions will be filtered. Filtering with "or", meaning tasks that meet any of the conditions is not supported.

  • Sort: You can arrange tasks in order of start time, due date, and other options. Alternatively, you can customize the order of tasks by dragging tasks.

  • Group: Click Group by to group tasks by Section, Start Date, Due Date, Creator, or Created From.

  • Switch views: You can switch between List and Kanban based on how you like to view and manage tasks.

Collaborate on projects
When working on a large project with others, having a centralized place for creating, tracking, and completing tasks is crucial. Task lists provide exactly that, ensuring that nothing is forgotten or overlooked. By adding collaborators, everyone can create and edit tasks. You also can create custom fields to help prioritize tasks, which all collaborators can see.
  • Create a task list: Hover over the Add icon to the right of Task List and select New List. Enter a name for the task list and click Create.

  • Add collaborators: You can add members as collaborators and assign them view or edit permission. Collaborators with view permission can see all tasks in the task list, while those with edit permission can edit and create tasks. In addition, you can assign ownership of the task list to a collaborator if needed.

  • Manage tasks: To help you and collaborators focus on key tasks, you can group, sort, and filter tasks. You can also create custom fields to add important information about tasks, such as their priority or risk level. This helps to keep everyone on the same page about what needs to be done.

  • View task updates: Click Activities to view all task changes in reverse order.

  • Archive a task list: You can archive paused or completed task lists so you can view or restart them later. In the navigation bar, hover over a task list and then click the ··· icon and select Archive.
