Who can perform these steps: Primary administrators or administrators with "Approval" permission.
The Link approvals widget is one of the approval form widgets that the Approval administrators can add to an approval process from the Approval admin console. It helps the members to conveniently link other approvals to their requests as context.
Common use cases:
  • Link the hiring approval to the probation approval to help the approver better understand the member's onboarding information.
  • Link the procurement approval to the payment approval to help the approver understand the order.
  • Link the business trip approval to the travel reimbursement approval to help the approver verify the information.
II. Steps
  1. Open the Approval admin console, and click Create Approval to create a new approval or click the Edit icon on the right of an existing approval to go to the details page.

  1. Click or drag the Link approvals widget to add it into the form.

  1. In the settings pane on the right, set the Basic Settings as needed:

    Title
    The default title is "Link approvals" and you can change it to an appropriate title.
    • Required
    • Up to 256 characters
    • Supports multi-language versions
    Limit range
    Sets a limit on the approvals that a requester can link.
    • Off by default, which means the requester can link any type of approvals.
    • If you turn this on, you can select an approval as the limit range and the fields from it that will be displayed to the requesters.
    • You can click Add Range to make multiple approvals available.
    Can only link approved ones
    Set a limit that only approved approvals can be linked to other approvals.
    • Off by default, which means that approvals in any status can be linked, such as "Under review" and "Approved".
    • If you turn this on, the requesters can only link approvals with the status of "Approved".
    Other optional settings
    Set whether this widget is required when submitting a request.
    On by default, which means the requesters must link an approval when they submit a request.

  1. Optionally, set the Visibility Settings. For more information, see Admin | Create an approval form.
  1. Add other required widgets as needed and click Publish.
After you complete the above settings, when a requester submit a corresponding approval request, they can click Add Approval to link approvals that appear in their Approval Center as To-do, Done, CC'd or Submitted. And it's also possible to search from their list of linkable approvals by title, requester, approval number or content.

III. FAQs
How many approvals can be linked?
One Link approvals widget can link up to 100 approvals.
Why is the "Select fields to be displayed" option grayed out when I configure the Link approvals widget?
If a Link approvals widget was added as part of a Details/Table widget, you can't select the fields for the linked approval. Go to the Form Design settings and move the Link approvals widget out of the Details/Table widget to enable the fields.
The administrator has set up the Link approvals widget. Why can't a member link certain approvals when they submit an approval request?
It might be that the approvals to be linked don't fit the requirements of the Link approval widget, such as the approvals are not in the linking range or not approved yet.
The administrator can go to the Approval admin console to check the settings of the Link approval widget.
