I. Intro

Who can perform these steps: Primary administrator or administrators with "Approval" permission.
As an administrator, you can manually hand over approvals when a member changes their role or leaves the organization, including both the approvals they initiated and those they're responsible for making a decision on. Otherwise, the approvals will be automatically handed over to the member's direct manager without transferring the roles.
Note: This feature is applicable only to approval processes an organization has created itself, not to third-party synced processes.
II. Steps
  1. Open the Approval admin console and click Data Management > Hand Over.
  1. Enter the name of the member whose approvals you want to hand over into Hand over from, then click Search to find the approvals that need to be handed over. You can also enter the name of the approval to help locate the approval precisely.

  1. Click Select a new owner to the right of the approval, or select multiple approvals and click Batch Handover.

  1. In the pop-up window, select a new owner in Take over by and the items to be handed over.

  • The following items can be handed over:

    Approval tasks to be processed by the old owner (the person in Hand over from), including pending approvals and pending handling.
    Note: Pending cc approvals can't be handed over. The original cc'd person (the person in Hand over from) won't get cc'd in the approval, while the other steps in the process will take place as normal.
    The approvals will be transferred to the new owner for processing.
    Submitted requests (ongoing)
    Approvals that the old owner has initiated but not yet completed.
    The approvals will be cc'd to the new owner for follow-up.
    Roles
    Roles of the old owner in approval processes, including process administrator, approver, handler, and cc recipient.
    The new owner replaces the old owner in the role. This change will apply to approvals submitted after the handover.
  1. Enter the reason for handover and click Confirm.
  1. (Optional) Go to the Handover History tab to check the handover logs. Fill in the search criteria and click Search to find a handover record.
  • If the handover status of the approval is "Exception", hover over it and click try again.

III. FAQs
If the administrator doesn't manually hand over approvals, how will the approval be transferred after an involved member leaves?
The approvals will be automatically handed over to the member's direct manager, but the roles won't. See the details in the following table.

Roles
Roles of this member in approval processes, including process administrator, approver, handler, and cc recipient.
The system will not transfer the roles automatically.
The administrator can go to the Approval admin console to manually hand over the roles.
How can the administrator cancel a handover?
You can't cancel a handover, but you can return the approvals. For example, if you have wrongly transferred A's approvals to B, you can transfer B's approvals back to A again.
