Who can perform these steps: Primary administrators or administrators with Approval management permissions.
In the design of the approval process, the administrator can select a role as the approver. A role is a certain type of members in the organization structure, such as HR, Administration, or Finance, including one or more members. Lark Approval shares the roles with the Lark Admin Console, where you can decide which members belong to a role.
By setting roles as approvers, if an approver resigns, other members of the same role can keep the process going without modifying the approval process.
II. Steps
  1. Open the Approval admin console and do either of the following:
  • Click Create Approval to create a new approval.
  • Click the Edit icon on the right of an existing approval to open its details page.

  1. Go to the Process Design page and click the Approval step to bring up the Approval pane.

  1. In the Set Approvers tab of the prompted pane, set the Approver to Role and select a role in the drop-down list below in the Select section.

  1. Decide the action to take When approver is empty and When the approver and requester are the same person as needed.
  • Note: If there are multiple members in the role, When the approver and requester are the same person takes priority over When approver is empty.

III. FAQs
If a role has set management scopes for members in the role, how is the approval transferred?
Once a role's management scope is set, the approval will be transferred to the role members of the requester's department correspondingly.
For example:
  • The approval submitted by the Design department will be handled by Li Yi;
  • The approval submitted by the IT department will be handled by Dana.

The administrator has assigned members to a role and set the role as the approver for an approval process. Why does it show that the approver is empty when members submit for approval?
The management scope of this role may not include the department of the submitter. The administrator can change the management scope of this role in the Lark Admin Console.
