Share calendars with internal and external members

I. Intro
You can share calendars with users inside and outside the organization, so they can view events and schedule meetings.
II. Steps
Before you share a calendar, you may want to configure its settings.
Check calendar settings
  1. Open the Calendar interface and find the calendar you want to configure. Click on the ··· More icon> Calendar Settings to open the settings interface.

  1. Depending on your permissions, you'll be able to configure different options.
  • You can only change the Calendar color for calendars you follow.
  • You can configure the following settings for calendars you manage:
  • Basic information: The Calendar color and description.
  • Default permissions: These are the default permissions a member will have when you share a calendar with them. You can separately set default permissions for internal and external members. There are five kinds of permissions, shown below.

Manage calendar (e.g. changing the calendar's settings)
Note: Administrators may have restricted the sharing permissions. If a permission option is displayed in gray, it means you do not have the authority to grant the target user that permission.
  • With whom to share: You can share the calendar with members and individually change their permission. Once you share the calendar, the members will receive a notification.

Share Calendar
  1. Open the Calendar, find the calendar you want to share, and click the ··· More icon > Share

  1. Choose the sharing method. You can choose to share to chat, copy the link, or download or copy the QR code.
  • Share to chat
Search for the member(s) or group chat(s) you want to share the calendar with. Once you click Next you will be asked to configure the permissions for those you are sharing with, apart from in the following scenarios:
  • You're sharing a calendar you follow
  • You're not able to send messages to at least one of your sharing targets
  • The calendar you're sharing is private calendar
When sharing "I manage" calendar, you can set calendar permissions.
  • Share link
Click Copy to copy the link. Click Share to send it to the member(s) and group chat(s) you want.
Note: The default permission for external users is private. If this isn't changed, they won't be able to open the link.

  • Share QR code
Click Download to download the QR code image to your computer. Click Copy to copy the QR code. Click Share to send it to the member(s) and group chat(s) you want.

III. FAQs
What is the relationship between the external sharing settings chosen by a user and those chosen by an administrator?
The permission scope set by users cannot exceed the administrator's settings.
What is the relationship between default permissions and highest permissions?
The maximum permissions are the ceiling on sharing. For example:
The administrator sets the highest external sharing permission for members' main calendar to b, and the default sharing permission to a. If Julia wants to share her main calendar with external member Mark, she can grant Mark permissions not exceeding b. Meaning permissions c or d remain off-limits to Mark. If Julia does nothing, then Mark's permissions remain at a.
