I. Intro
You can add a relevant Doc to an event description, making it easier for event guests to prepare for the meeting.
II. Steps
Add when creating an event
As the event organizer, you can add relevant Docs directly into the event description when creating the event. When entering the event details in Calendar, add the Doc hyperlink into the event description box.

Add when editing an event
Users with event editing permissions can add Docs to the event by editing the event description. In Calendar, click the event you want to edit, then click the Edit event button in the upper-right corner. Add the Doc hyperlink in the event description and then click Save at the top.

III. Setup complete
Once the Doc has been added, by default all event guests can view the Doc. Event guests can then click the event to read the relevant Docs.
If the user who added the Doc to the event description is not the Doc owner, the Doc owner will receive a notification from the Docs Assistant stating that User A has granted view permissions for Doc C to event B guests.

You may encounter the following issues if the Doc you add to the event description does not have link sharing enabled.

If the event is deleted, will event guests still be able to view the Doc?
If the event is deleted, guests will no longer be able to view the relevant Doc. They will need to request access from the Doc owner if they wish to read it. View permissions automatically expire when the event is deleted. Event organizers/Doc owners do not need to take any further steps.
If a Doc is added to an event, and then deleted, will event guests still be able to view the Doc?
There are two possible scenarios:
  • Edit events (non-recurring)
If the Doc within the event description is deleted, event guests will no longer be able to view the Doc. They will need to request access from the Doc owner if they wish to read it. View permissions automatically expire when Docs are deleted from the event. Event organizers/Doc owners do not need to take any further steps.
  • Edit a recurring event
  • Edit a single instance of a recurring event: As long as the Doc is included in other instances of the event, Guests will still have access to the Doc.
  • Edit a single instance and all subsequent instances of a recurring event: Guests of this instance and subsequent instances of the event will no longer be able to view the Doc. If the Doc is included in other instances of the event, guests of those instances will still have access.
  • Edit all instances of a recurring event: All event guests will no longer be able to view the Doc.
If a Doc is added to a recurring event, will all event guests be able to view it?
There are three possible scenarios:
  • Only a single instance of the recurring event is edited: All guests of this instance of the recurring event will be able to view the Doc, regardless of whether they are included in other instances of the recurring event.
  • A single instance and all subsequent instances of the recurring event are edited: The guests of this instance and subsequent instances will be able to view the Doc, regardless of whether they are included in earlier instances of the event.
  • All instances of the recurring event are edited: All event guests can view the Doc, regardless of which event instances they are included in.
If the recurring event organizer adds or deletes guests, are their document viewing permissions changed accordingly?
This will depend on how the organizer edits the event. There are three possible scenarios:
  • Only one instance of a recurring event is edited
  • Adding a guest: The added guest will automatically be able to view Docs.
  • Deleting a guest: If the deleted guest is still included in other instances of the event, they will still be able to view Docs.
  • A single instance and all subsequent instances of the recurring event are edited:
  • Adding a guest: The added guest will automatically be able to view Docs.
  • Deleting a guest: The deleted guest will no longer be able to view Docs in the event description.
  • All instances of the recurring event are edited
  • Adding a guest: The added guest will automatically be able to view Docs.
  • Deleting a guest: The deleted guest will no longer be able to view Docs in the event description.
Why do some event guests have viewing permissions and some do not?
All event guests are granted viewing permissions when a Doc is added to the event description, however as Docs have collaborator limits, this limit may mean not all event guests are able to view them. See What are the parameter limits for Docs? for more information.
What happens if the Doc has a security level?
