Who can perform these steps: Primary administrators or administrators with "Approval" permission.
As an administrator, you can design Approval forms that automatically reference data from one or more bases. This allows members to fill in forms more accurately and efficiently.
Common scenario:
An "Item Purchase" approval form references the "Inventory Management" base. Three of the base's fields are referenced:
  • Item
  • Item ID
  • Current Inventory Quantity
When the requester chooses which item they want to purchase in the form's Item field, the form's Item ID and Current Inventory Quantity fields are automatically filled in with data from the corresponding record in the Inventory Management base.

II. Steps
  1. Access the "Form Design" page
  1. Either click Create Approval or click the Edit icon beside an existing approval.

  1. Click Form Design at the top of the page.

  1. Add the "Data from Base" widget
Click the Data from Base widget or drag it into the form.
Note: The Data from Base widget can also be added to the Details/Sheets widget.

  1. Configure the widget
In the pane on the right side of the interface, you can configure the Data from Base widget:
  • Select a base: Choose the base you want to reference. You can either select it from the dropdown menu or paste in a link. You can only reference bases for which you have management permissions.
  • Select a table: Select which of the base's tables you wish to reference.
  • Reference field: Click Add to select the specific field(s) you want to reference. You can drag the ⋮⋮ icon before a field to adjust the order.
  • Note: The referenceable field types of Base include text, single option, multiple options, person, number, and currency.
  • Submitter can select data from: Set the data range in the base that members can select when submitting the approval.

After you've set which fields you want to reference, you'll be able to see them in the preview form.

III. FAQs
Which field types of Base can be referenced?
You can reference Text, Single Option, Multiple Options, Person, Number, and Currency fields.
Is there a limit to how much data can be in a referenced field?
A referenced field can have a maximum of 10,000 records. Fields with over 10,000 records cannot be referenced.
What will happen to the approval if the referenced base is deleted?
New requests using this approval cannot be submitted.
Already submitted requests can still be viewed and processed. However, they cannot be edited.
Can an approval form reference multiple bases?
Yes. You can add multiple Data from Base widgets.
What happens if an approval refers to multiple bases and the referenced fields from the different bases have the same title?
Currently, referenced fields with the same title can only be distinguished by their order on the form. To avoid confusion, it is suggested that you change the fields' titles.
Can I reference a base in a Wiki space?
Yes.
If the data in a referenced base field changes, will it affect the approvals that have been submitted?
No. The approval keeps the data when being submitted. If the data in the base changes, it will not sync to the submitted approvals.
Is it possible to batch copy and paste the content in a "Details/Table" widget that includes a "Data from Base" widget?
No. Because some data comes from the base, you won't be able to batch copy and paste content in that table.
Is it possible to automatically initiate approvals according to the values of a referenced base field?
No.
Why do some data referenced from Base not show up in approvals?
It is possible that one or more of the referenced fields in the entry you are looking for are empty, which makes the entire entry invisible.
For example, an approval references three fields in a base: Name, Gender, and Age. When you search for the data of a member, if the Gender field of that member is empty, you can't see this member in the referenced data. If the three fields of the member are filled, this member will be visible in the referenced table.
Make sure that all the referenced fields are not empty before you reference a base.
Will its advanced permissions apply when a Base file is referenced in an approval process?
Yes.
