Create an event and invite guests

I. Intro
You can create an event through the Lark Calendar and invite relevant contacts to participate in this event.
II. Steps
  1. Create an event
You can create an event in the following three ways.
Method 1: Click Calendar on the left navigation bar of Lark app, and click Create Event in the upper-right corner of the Calendar view to open the Create event page.

  • Method 2: Click Calendar on the left navigation bar of Lark app. In the Day or Week view, select any time slot under a certain date, or in the Month view, click the blank area under a certain date to open the event creation pop-up window. Click More Options in the pop-up window to open the Create event page.

Method 3: In a single chat, click the Calendar icon in the upper-right corner, or in a group, click the View calendar icon in the upper-right corner to view other members' availability. Click the free time slot to create an event.

  1. Edit event details
On the Create event page, you can fill in event information, such as event title, time, location, and so on, and you can also set recurrence rules for the event.
Add event guests
You can add event guests to the event in the following two ways.
Method 1: Search and add
Search for the contact, group, or member's email address that you need to invite in the search box, and click to add. Besides internal members of the organization, you can also search for the names, email addresses, or groups of external contacts to invite external members to the event.
Note: After inviting external contacts, the event will become an external event, and an "External" label will be displayed on the event.
Method 2: Batch add
Click the + Batch Add button on the right side of the search box to view the list of organization contacts, external contacts, or email contacts. In the list, you can select the corresponding contacts in batches.

After adding event guests, you can view the availability status of the event guests on the right side. Click the Eye icon on the right side of the event guest's profile photo to hide or show their availability status. If this event is not mandatory for a certain member, you can mark it as optional.
You can also set event-related permissions for event guests, including whether to allow event guests to modify the event, invite others, see the guest list, or create meeting notes.

Add a video meeting
If you want to use the Video Meeting feature for the event, click the arrow on the right side of the video meeting option. By default, it is Lark Video Meeting. If you need to use other video meetings, you can select Other Video Meetings in the drop-down menu and enter the link address of the video meeting.
Note: If you need to add a Zoom meeting, see Create Zoom meetings from Lark Calendar.

Add meeting rooms
If you want to book an offline Meeting Room for this event, you can click Add Rooms to make a reservation.
Note: The organization administrator must add meeting rooms in the Admin Console before you can make reservations.
Add meeting notes, event descriptions, or attachments
If you need to create notes for the event, or have materials to share with the participants, you can click each module to add content.
Note: The total size of the uploaded file cannot exceed 25 MB.

  1. Save the event
After finishing editing the event details, click the Save button, and then click Confirm in the pop-up window. The event guests will receive the event invitation.
You can return to the calendar view, click the created event, and check the acceptance status of the event guests in the event details. If you need to know in time who has declined the invitation, you can click your profile photo, click Settings > Calendar, and select Notify me when someone declines my invitation. When someone declines, you will receive a notification from the Calendar Assistant bot.

III. FAQs
What is the maximum number of participants allowed for a single event?
5,000.
How can I avoid receiving reminders for events I have already declined?
Click your profile photo in the upper-left corner, click Settings > Calendar in the menu, and select Do not send notifications for declined events.
I have set all calendars not to send reminders, why do I still receive them?
Turning off reminders impacts all the events created instead of happening in future. For events created before the setting, the reminders will still be sent.
When can I mark an event participant as optional?
If an event is not mandatory for some members, you can mark their attendance as "optional" when sending out invitations. These members will be labelled as "optional" in the event invitation notification, allowing them to decide whether to participate in the event.
Note: This feature is only available on the desktop app of Lark.
How can I change an event's time on the desktop app of Lark?
Go to Calendar, click the event and click the Edit an event icon. You can also drag the event in the Calendar view to adjust its time.

By default, events are created on the calendar carrying my name, can I change the default calendar?
No. But you can choose which calendar to create the event on:
  • In the calendar view, select the target calendar under Managing on the left, and then create the event.
  • Select the target calendar on the event details page.

How can invitees edit event description?
The event creator needs to set Guest permission to Modify event to allow the invitees to edit the event description.
Why can't my invitee add Meeting Rooms?
Ask the invitee to check if they are adding rooms on their own calendar. The invitee must select the calendar carrying their name under Calendar > Managing.
Why is there only an "Exit event" icon on the event card, but no "Delete event" icon even if I'm the event organizer?
Check whether you are on the calendar where the event is created. Go to Calendar > Managing and select the calendar where the event is created to delete the event.
After an event is deleted, will the associated meeting link become invalid?
  • For a non-recurring event
  • If the event is deleted before the meeting starts (the meeting is not in progress), the meeting link and meeting ID will immediately become invalid, and participants will not be able to join the meeting.
  • If the event is deleted while the meeting is in progress, the meeting will continue, and participants can still join the meeting through the event's meeting link and meeting ID. Once the meeting ends, the meeting link and meeting ID for that event will immediately become invalid, and participants will no longer be able to join the meeting.
  • For a recurring event
  • If only certain occurrences within the recurring event are deleted, the meeting link and meeting ID for the recurring event will not become invalid.
  • If all occurrences of the recurring event are deleted:
  • If the meeting hasn't started yet (the meeting is not in progress), the meeting link and meeting ID for the recurring event become immediately invalid, and participants will not be able to join the meeting.
  • When the meeting is in progress, the meeting continues, and participants can still join through the recurring event's meeting link and meeting ID. After the meeting ends, the meeting link and meeting ID for the recurring event will immediately become invalid, and participants will no longer be able to join the meeting.
The event saving fails, and it prompts that the creation of event information does not comply with the User Agreement. What should I do?
Try the following steps to troubleshoot:
  • Check the Calendar permission settings to ensure that you have the permission to create events under this Calendar.
  • Make sure that the event does not contain any sensitive information or content that violates the User Agreement.
  • If the problem still exists, contact the administrator for help. You can find the administrator in the following ways:
  • Ask other members within the organization, such as IT department staff and superiors to find the administrator.
  • Open the Lark Admin Console link on the desktop app where you can see the administrator information.
Can the event invitation be sent to only a subset of participants?
Not supported. The event invitation settings are for all event participants.
