I. Intro
Round Robin allows people outside your organization to schedule meetings with members of your team.
Unlike the Scheduler tool, which you can set up to allow users to book meetings with you individually, Round Robin allows you to make a number of your organization's members available for booking on a rotating basis. Each booking will include just one organization member.
This can be a useful option when a number of members are responsible for tasks like product demonstrations, interviews or client visits.
II. Steps
Create a Round Robin
  1. Open the Calendar interface and click Scheduler > Create > Round Robin.

  1. Select the Round Robin hosts. By default, you will be one of the hosts. Up to 100 hosts can be added.
Note: External contacts cannot be selected as hosts.

  1. Enter the schedule's details. For more detailed instructions, please refer to Use the Scheduler in Calendar.

  1. An event group will be created, including all of the Round Robin hosts. An event card will simultaneously appear on the group members' Scheduler > Shared schedule interface. A shareable link will be generated, through which people can book meetings with the team.

Handle scheduled events
When a meeting is booked through Round Robin, a card will automatically be sent to the group, showing the host, date, time, who booked the meeting, and other details for the current event.
The card will also have the Change host, Reschedule, and Cancel buttons
  • All three buttons will be visible to the Round Robin creator.
  • The hosts will only see the Reschedule and Cancel buttons.
A corresponding event will automatically be created on the Calendar for the Round Robin hosts assigned to the event, and they will receive notifications from the Calendar Assistant.

As an organizer, if you decide to change the host, you can click Change host and see the availability of designated hosts. Once the host has been changed, an updated card will be sent to the group.

Event data
Every Round Robin is associated with a Base, which will automatically record event data. Click the Data icon in the interface to view it.
