If you need multiple shifts with only minor differences, you can create one shift, duplicate it, and then adjust the settings as needed. For more information, see Admin | Configure shift settings.

Missed punch notification to members
After the administrator enables Missed Punch Notification in the Attendance admin console, members will receive a notification sent by the Attendance bot for the current or previous workday that they miss the clock-in/out. The notification message shows the total number of missed clock-in/out records for the current month, and members can request to make up for those records. For more information, see Submit an Attendance correction request.
Customize report rules for the Attendance app on mobile devices
Administrators can set rules in the Attendance admin console to specify the report fields and time ranges that members can see in their Attendance app. For more information, see Admin | Set mobile attendance reports.

Off days shifts and deduction of breaks from overtime hours
When setting shifts for an attendance group, administrators can apply the shift to workdays or off days. Additionally, it's also possible to deduct breaks from overtime for more accurate calculations. For more information, see Admin | Configure shift settings.

Sync data in summary record reports to timesheets
Administrators can now click Generate Attendance Confirmation in reports of the Summary record type (such as the default monthly reports) to sync the data from the reports to the timesheet.
Note: The Generate Attendance Confirmation option is only available for reports of "Summary record".

Require clock-in and clock-out for overtime
When the overtime rule sets clocked-in hours within approved overtime hours for Overtime hours calculation, the administrators can require the attendance group to clock in and out for overtime by selecting Record attendance at the start and end of overtime under Overtime records in the attendance group settings.
  • If this option is selected, and the member's requested overtime period and work period are not continuous, they need to clock in or out at the start and end of both work time and overtime, four times in total. For example, the work period is from 9:00 to 18:00, and the overtime request is from 19:00 to 21:00.
  • If this option is not selected, the member's requested overtime period follows the work period, they need to clock in at the start of work time and clock out at the end of overtime, twice in total. For example, the work period is from 9:00 to 18:00, and the overtime request is from 18:00 to 20:00.
Note: This setting only applies to fixed shift and scheduled shift attendance groups.

2024.04 What's New
Set applied range for overtime rules with conflict detection
In Attendance Admin console, the administrator can use personnel information such as department, member, or region as conditions or condition sets to configure the applied range of overtime rules, while the system automatically detects conflicts in the settings and reminds you if there are members appearing in different overtime rules.
Note:
  • Each overtime rule can set up to 10 condition sets, and each condition set can add up to 10 conditions.
  • The rule applies when a member meets all the conditions in any condition set.
  • It's mandatory to have at least one "contains" condition. The "does not contain" conditions serves as a secondary setting that only filters the result of the "contains" conditions.

Modifying abnormal clock-in/out records of free shift members
Previously, administrators could only modify abnormal clock-in records generated by members on fixed or scheduled shifts. Now, they can also modify the abnormal records generated by members on free shifts, such as late in, early out or no record.

"No record" will also be hidden when clock-in/out times are hidden
If the administrator unselects Display the clock-in and clock-out times of the employee in an attendance group's setting, "no record" results will also be hidden.

When offsite clock in/out requires approval, the period is extended by default
If offsite clock in/out requires approval, members will now have an extra two hours before and after their shift in which they can clock in/out.
For example, if a member has applied to work offsite work from 9:00-18:00, they can clock in/out from 7:00-20:00.

Ensure minimum working hours for members on flexible shifts
Administrators can set a minimum required number of working hours for attendance groups on a flexible shift.
If a member doesn't clock the required number of hours, it will be noted in their attendance record.

Members can make bulk corrections
Approval administrators can now allow members to correct several attendance records at once through Approvals which use correction widgets.
If bulk correction is allowed, members can submit up to 30 corrections at once, spanning up to 90 days.

Set out-of-office clock-in rules
Administrators can decide whether members on fixed and scheduled shifts should clock in/out when they're working outside their normal workplace, on business trips or both.
If this function is turned on, members can either record their attendance at the start and end of their shift, or when they leave the office and when they return.

Set clock-in rules for partial leave days
Administrators can choose whether members must clock-in/out on days on which they've taken part of the day off work.
Admins can customize rules for this scenario including thresholds for early out, late in and no record.
Note: By default, this functionality supports clocking in during mid-work leave. If the company does not require clocking in for mid-work leave, please contact Support to disable this functionality.

Admins can now choose from three options for scheduled shifts: Members cannot clock in or out, Members can clock in and out after selecting a shift, Members can clock in and out without selecting any shift.

Attendance groups automatically schedule statutory holidays
When creating a new attendance group, if the time zone chosen for the attendance group corresponds to one of the system's preset lists of statutory holidays, it will automatically schedule those days off. For instance, groups whose time zone is set to New York time will have US holidays off by default.
Note: Scheduled shift attendance groups must set statutory holidays.

Optimization of attendance group conflict scenarios
When setting up or editing an attendance group, if you try to add members who are already in another group, you can select them all and move them to the new group with just a few clicks.

📢 Set attendance rules for members' first and last days of work
Administrators can set clock in/out rules for members' first and last days of work on fixed or scheduled shift attendance groups' Attendance Settings pages. The Employee doesn't need to clock in/out on their first day of work and Employee doesn't need to clock in/out on their last day of work options are available to offer greater flexibility.
Note:
  1. Administrators can set this feature for multiple attendance groups at once in the Attendance Admin.
  1. First and last days: go to Lark Admin to check a member's first/last day information.
  1. Multiple clock in/out shift:
  • When only Employee doesn't need to clock in on their first day of work is enabled, it will only apply to the first clock-in of the day (the same applies to the last day scenario).
  • When both Employee doesn't need to clock in on their first day of work and Employee doesn't need to clock out on their first day of work are enabled, it will apply to all clock ins and clock outs of the day (the same applies to the last day scenario).

📢 Optimized display of attendance group settings on mobile app
On the mobile app, the Attendance Group Settings > More settings page has been optimized to categorize different settings based on rules, making the page's organization more intuitive.

📢 Set which members do not need to track time
Attendance group administrators and supervisors can designate Members (time tracking optional) on the Attendance Group Edit page.
Attendance will be recorded for these individuals on work days by default, without them having to clock in or out. Their salaries and their leave and overtime durations will be calculated based on the attendance group's set working hours (including breaks). If they clock in/out, no abnormal attendance records will be generated.
Note:
Members who do not need to clock in/out will not receive any attendance-related bot notifications.

Associated features:
  1. Members for whom time tracking is optional can still initiate requests for leave and overtime, and can manually clock in/out in the Attendance app
  • Initiate requests: Members who do not need to clock in/out can request leave or overtime in their Attendance app > Requests. The system will calculate their leave and overtime durations based on their attendance group's shift and break times.
  • Manual clock in/out: If there is a need to record clock in/out times in special scenarios, members who do not usually need to track time can manually clock in/out on their Attendance app > Rules > Proceed anyway.
Note: If the overtime rule for members who do not need to clock in/out is set to "Calculate based on clock in/out time within requested period" or "Calculate based on clock in/out time without the need to request":
  • Members who do not need to track time will still need to manually clock in/out, otherwise their overtime duration will not be calculated.
  • Or, administrators can change the overtime rule to "Calculate based on request", then manual clock in/out will no longer be required, and overtime will be calculated based on the request.

  1. View which members do not need to track time in reports
Administrators can go to the daily/monthly report page in Attendance Admin, and check the Type field in Custom column. The Type column in the report will indicate whether a member needs to track time or not. Results for members who do not need to track time will always be "Normal", regardless of whether they have manually clocked in/out or not.

  1. When the current attendance group already has members who do not need to clock in/out
If an existing attendance group already has members who don't need to clock in/out, it's recommended that administrators designate those members as Members (time tracking optional) as soon as possible. If they aren't transferred, the system will regard them as needing to clock in/out, which could affect their salary calculation.
In this case, there will be a View previously set members who do not need to clock in/out option available. Administrators can click it, select members, and click Confirm to add these members to the current Members (time tracking optional) group. These members will then follow the rules set for Members (time tracking optional).
📢 Attendance can now be recorded first and then approved in offsite attendance scenarios
In the Attendance Admin > Attendance Settings, if administrators have enabled Offsite attendance requires approval, they can choose to allow members to record their attendance first and then for approval to be processed. This helps avoid members' clock-in/out being affected by delayed approval.
Note: After enabling Record attendance then approve, members will be able to clock in/out first, thereby generating a pending clock in/out record, and then submit their offsite attendance or business travel request. The clock in/out will only take effect after the request is approved.

📢 Set branch conditions to automate attendance correction requests
As an administrator, you can edit the approval process for Clock-in/out Correction in Approval Admin and set two different branch conditions (Number of corrections in a month and Correction duration) to automate the approval of attendance correction requests.
Examples:
  • Organization A: If the employee has submitted no more than 3 correction requests during the current month, the request will be automatically approved. If more have been submitted, manual approval is required.
  • Organization B: Correction requests which are submitted within 24 hours only require approval by the department supervisor. Requests submitted after this time must also be approved by a senior manager.
Glossary:
  1. Clock-in/out Correction: Default or custom approval process for attendance corrections.
  1. Number of corrections in a month: The number of approved or pending attendance correction requests submitted during the current calendar month (or during the current period, if a custom period has been defined).
  1. Correction duration: Number of days between the date requiring correction and the date on which the request was submitted.

When editing attendance groups, admins can now configure statutory holidays for attendence groups on a Scheduled Shift. The system has preset statutory holiday calendars for certain countries and territories. A holiday marker will be shown on the corresponding date in the schedule once these have been configured.

Customized half-day splitting rules for shifts
This feature is only available with Lark's Business and Enterprise plans. To inquire about purchasing, please contact Support or a Customer Success Manager.
In Attendance Settings > Shift Settings, administrators can customize half-day rules for shifts, allowing them to choose various ways in which the day can be split into two, such as at the midpoint of the shift including breaks, the shift midpoint not including breaks, or at a set time.
Note: On the Lark Standard plan, the half-day rule is set at the midpoint of a full-day shift length (including breaks). Custom rules are not supported.

📢 Easily address problems when adding members or departments to an attendance group
When choosing which departments or members are participating in an attendance group, various issues can arise, such as members or departments already being part of other groups. Lark offers a few ways to easily remedy these problems, enhancing the flexibility of attendance management. They include:
  1. If individual members or whole departments are already in other attendance groups: The system will automatically show which members or departments are in conflict. Administrators can select which ones need to be moved to the current attendance group. Members or departments that are not selected will stay in their original attendance group.

  1. If some of a department's members are already in one attendance group, when the department gets added to a second group: Administrators can view detailed information, and select which of the members need to be moved to the second attendance group.

If an employee joins a department which is affiliated with multiple attendance groups: The system will notify the attendance group owners, and they can set which attendance group the employee should join (only 1 of the owners needs to take action; if no one takes any action, the member will not be added to any attendance group).

📢 Administrators can now edit employee clock in/out times based on a custom time range and reason
Upgrade improvements: Administrators can now edit employee clock in/out times. Not only can administrators edit the clock in/out time, but they can also leave a remark stating the reason for the change. There is also the option to restore the original clock in/out time. These options make it easier for administrators to manage employee attendance and make changes easier to track and recheck.

📢 Clock in/out times can be displayed in the Attendance mobile app
In Attendance Admin, administrators can set whether to Display the clock-in and clock-out times of the employee under the Attendance interface display. If this option is checked, administrators can choose to display these times On the Clocked in/out page or On the Attendance records page. Once configured, employees will be able to see their clock in/out times on the corresponding pages. These options not only give organizations more flexibility in managing their employee's attendance, but they can also help avoid potential conflicts.
Note: Administrators can also use bulk settings to set these options for multiple attendance groups.

📢 Urgent clock-in/out reminders for employees
Administrators can turn on clock-in/out reminders for employees in the Notification Settings portal, and can select methods including clock-in/out bot reminders, in-app buzzes, SMS buzzes, or phone buzzes, to effectively remind employees to clock in/out.
Note: Employees can modify settings by themselves, and employee-modified settings shall take precedence.

📢 Automatic clock-in for late arrivals and updating clock-out
Express attendance allows employees to customize and configure rules for unusual situations.
  • After turning on Express clock in, employees can customize the Automatically clock in when you're late setting. When turned on, employees will be automatically clocked in when they're late. If turned off, they will instead receive a reminder message.
  • After turning on Express clock out, employees can customize the Automatically update clock-out time setting. After this is turned on, when the Lark or Attendance app is refreshed, it will automatically update the clock-out card until the shift is completed.

📢 Easy designation of attendance owner
If an organization has not yet set an attendance owner, the organization administrator can conveniently designate one following the instructions on the page. Employees can also apply to be the attendance owner on the page, making it easy to quickly handle management tasks.
📢 Attendance management using the desktop app
The Attendance desktop app now offers support for attendance management. Administrators can use the Lark desktop app to access the Attendance app via Workplace or search, and then access the Attendance Admin to conveniently manage attendance, view data, and perform other tasks, which greatly improves management efficiency.
Note: If an administrator wishes to use the functionality of the Attendance app on their desktop, it can be opened by clicking Attendance App in the upper-right corner.

📢 Configure clock in and clock out requirements for partial day leave
Attendance Admin now features a new option for requiring members who take partial day leave to clock in or clock out. When the period during which employees apply for leave includes office hours, they will have to clock out and clock in when leave or return to the office, otherwise an unauthorized clock out or late arrival record will be logged. This prevents employees from returning to their desk late after applying for partial day leave.

📢 Improved clock in and clock out experience for shifts spanning two days
Employees previously had to manually change the clock in date and then clock in again for working shifts that spanned two days. Now, employees working a shift that spans two days can clock in and out without having to manually change the date and can directly clock out from the workday that began on the previous day.
📢 Clock in and out without being in an attendance group
Employees previously could only clock in or out after joining an attendance group. We have now improved this function so that employees can now clock in and out without joining an attendance group. This is particularly useful for new staff who may not have been added to an attendance group. Attendance records can be viewed in the attendance reports.
Note: When a member is added to an attendance group, any existing attendance records for the current day will be saved and the group attendance rules will be automatically applied.

📢 Add all members of your organization to an attendance group
When configuring the members of an attendance group, you can now select all members of your organization. New members will be automatically added to this attendance group. This function is particularly useful for small- and medium-sized organizations that only require one attendance group.

📢 Correction request now linked with default correction approval
In the Approval admin console, if you turn off correction request in App Settings > Request, the default correction approval will also be turned off. If you turn on correction request, then the default correction approval will be turned on as well.

📢 View all clock in/out records on the Attendance app
On the Attendance app's statistics page, you can see all clock in/out records before and after the change, such as manual clock in/out updates, shift changes, and modifications by administrators. This feature allows you to independently verify your clock in/out information. This reduces pressure on administrators to manually verify attendance on Attendance Admin.
Note: If an administrator hides the clock in/out time, the updated clock in/out record will also be synced to hide the clock in/out time.

📢 Pre-shift overtime now available
When setting overtime rules, administrators can set the calculation method to "When the overtime hours are within the attendance record, time between clock-in and clock-out counts as overtime". Then you can set rules for pre-shift overtime, which means if an employee's overtime hours before their shift starts meet a minimum requirement, it will be counted as pre-shift overtime. (Effective overtime must meet both the pre-shift requirement, post-shift requirement and the daily minimum requirement.)

📢 New lactation break template: automated approval process for breaks taken at the same time every day
Find the Lactation break template by going to Attendance Admin > Leave Management. Administrators can set the owner and the applicable scope for this type of leave. When needed, employees can select lactation break as the leave type and fill in any required field. Once approved, this approval will be valid for the entire duration. This template makes it easy for employees to take lactation breaks when needed as they don't need to submit requests repeatedly; it streamlines the approval process for the organization.

📢 Set repeated cycle for special days to create big/small shift
For fixed shift and flexible shift, when administrators add an attendance-required date or no-attendance-required date, you can set the shift cycle to Bi-weekly, and set the start/end date of the cycle to create big/small shift.

📢 Search and export data on terminated employees
When viewing daily reports and monthly reports in Attendance Admin > Attendance Reports, you can filter for terminated employees to view and export their attendance data. The administrator can only search for terminated personnel within their area of management. Information on the terminated employee's former department and attendance group will also be displayed. Attendance data from any point in time for the terminated employee can be viewed.

📢 Optimized attendance report field settings portal and added customizable fields
Go to Attendance Admin > Attendance Reports and select the Daily or Monthly tab. Customize reports and fields by clicking on Report Settings in the upper-right corner.
You can select the fields you want to include in the report. Based on your management needs, you can also customize the display rules for fields labeled as Can Edit. For example, for Daily Attendance Result, you can choose whether to show clock-in/out time and attendance results for weekends and non-scheduled days.

In Attendance Admin > Attendance Settings, a new option Non-workday attendance requires approval has been added. Once turned on, employees will need to have an approved overtime, out-of-office or business trip request before they can clock in/out on non-workdays.

📢 Specify correction type; corrections can be requested for regular and no-attendance-required records
When the administrator is setting attendance rules in Attendance Admin > Group Settings, under Correction rules, the administrator can specify the types of attendance records employees can request corrections for. After specifying, employees can only request corrections for selected types of records. This allows employees who forgot to clock-in over time hours to make corrections later on.

In Attendance Admin > Group Settings, administrators can enable Attendance by taking photos when creating or editing an attendance group. 📢 Modifications of approved leave or business trip documents are supported
If an organization uses Lark Approval, administrators can go to Approval admin to enable the Modify Settings for members to request to modify approved documents. It can be used in leave cancellation and business trip cancellation scenarios.
Conditions: Administrators need to go to Approval admin and configure Approvals passed within x days can be modified; members' modifications can only take effect after the original approvers grant approval (approvals in processing can't be modified).

📢 Manage default notification settings for employees
In Attendance Admin > App Settings > Notification Settings, administrators can turn on/off notifications for employees (for clock-in/out reminders, personal/group attendance reports, and missed punch notifications). This only applies to employees who haven't modified their notification preferences. 📢 Isolate attendance management permissions by management scope
We have upgraded our system of attendance management roles. We added the group sub-owner, leave owner, and overtime owner management roles and implemented strict permission isolation based on management scopes. Administrators can only view and edit data in their management scopes. This allows for more detailed management permission configuration and ensures data remains isolated between different departments.

📢 Members in the attendance groups and exempted attendance groups will be automatically removed from these groups once terminated
For attendance group members attendance required or exempted, they will be automatically removed from these attendance groups once terminated (you can still view their existing attendance data). Administrators don't need to manually remove invalid members, enhancing the attendance management efficiency.

📢 Support for schedule management on the mobile app
On the mobile app, administrators can go to Attendance App > Settings > Team Settings to manage schedules. 📢 Automatic data sync of additional business travelers
In the Attendance app > Request page, when an employee adds another person for the business trip, the additional person doesn't need to submit another request. The number of days, duration of the business trip, and other data will be automatically synced. Admin can also access this data in the Attendance Admin anytime.

📢 Request configurations support custom links
Go to Attendance Admin > Request Configuration. In addition to turning on/off the request module and individual request types, you can now configure custom request links. Administrators can configure links that redirect users to pages in the company's self-built system. When users submit a request, they will be redirected to the page to complete the request. 📢 Shift set up very late rules is available
On Attendance Admin > Attendance Settings > Shift Settings, the administrator can expand More rules when creating or editing a shift, and set Late more than a certain number of mins will be recorded as Very Late. A new very late rule was added to the original late rule to better meet the needs of company attendance management.
Note: The duration of being very late should be longer than the duration of being late-in, and should be shorter than the duration of no records.

📢 Leaves can be granted according to the employee's seniority and working years.
Go to Attendance Admin > Holiday Management > Leave Type page. Focusing on the Limited leave grant rule during the editing or adding of a leave type, we've added the ability to let users grant leaves based on an employee's seniority and working years. Businesses can have more flexible options to choose from when granting leaves.

📢 Leave duration can be calculated by the minute
When adding or editing leave types in Attendance Admin > Leave Management > Leave Type, you can set "minute" as the minimum leave unit.

When adding or editing overtime rules in Attendance Admin > Work Management > Work Rules, you can set "half hour" or "minute" as the minimum time unit.

📢 Start date of correction periods can be customized
In the Attendance Admin > Attendance group settings page, when administrators create or edit an attendance group, administrators can customize the start date of correction periods. After the custom correction period option is enabled, enter the start date of the period. The number of days in a period is 1 month. 📢 Individually set the valid range for each attendance location
From Attendance Admin, go to the Attendance Group Settings page. When enabling the GPS clock in/out, the administrator can individually set the valid range for each attendance location. On the Attendance Admin > Request Configuration page, the administrators can customize the request entry and items in the Attendance app. If the options of all requests are hidden, the request tab in the Attendance app will be hidden as well. 📢 Flexible attendance supports early in and early out
For flexible attendance, based on late in and late out, the new way of early in and early out is added to help the team manage attendance more flexibly.
Administrators can go to the Shift Settings page in Attendance Admin > create a shift or edit existing shifts > select flexible attendance in attendance methods > allow attendance group members to leave x hr x min early after work.
For example, the work time for one shift is 9:00-18:00
  • Set "Can come at most 2 hours late", that is, allow to come and leave 2 hours late, for example, an employee comes at 10:30, then needs to leave after 19:30.
  • Set "Can leave at most 2 hours early", that is, allow to come and leave 2 hours early, for example, an employee comes at 7:30, then needs to leave after 16:30.

Besides MAC address, public network IP address now can also be used for Wi-Fi attendance. The public network IP address is more stable compared to the MAC address. Note: This method is easier to cheat and more difficult to be detected (e.g., attendance group members may cheat through virtual IP software).
