Admin | Manage email data

I. Intro

Who can perform these steps: Primary administrators or administrators with "Mail" permission.
As an administrator, you can delete emails in members' mailboxes such as junk emails or emails with viruses. You can also restore emails that have been deleted by administrators or members.
II. Steps
Access to the feature
  1. Go to the Lark Admin Console, then click Product Settings > Mail.
  1. Select Email Management tools > Data Management to open the Data Management page where you can search, delete, and restore emails, and view the action history of emails.

You can also go to the Lark Admin Console, click Storage > Storage Management in the left navigation bar, and select Manage Email to open the Data Management page.

Search for emails
  1. On the Data Management page, use search filters like time frame, owner's email address, email subject, sender's and recipient's email address, email ID, and email status to find specific emails.
  1. After setting the filter conditions, click Search. If no filters are added, all emails from the last 7 days will be displayed by default.

Delete emails
  1. In Data Management, click an email to view its details.
  1. Click Delete emails in the lower-right corner. When you do this, the email will be removed from the owner's mailbox.

To delete multiple emails, select the emails and click Delete emails.

  1. After you click Delete emails, a confirmation window will appear. Modify the task name (optional), confirm you understand the action you are taking, and then click Delete.

Restore emails
  1. In Data Management, if an email's status is Deleted by admin or Deleted by members, click the email to view its details, and then click Restore in the lower-right corner.
  • Note: Batch recovery of emails is not supported.

  1. After you click Restore, a confirmation window will appear. Modify the task name (optional), confirm you understand the action you are taking, and then click Restore in the window.

In Data Management, click Task Center in the upper-right corner to view past email data management tasks.

III. FAQs
Can you recall and restore emails sent from a Lark Mail account logged into a third-party client?
Yes.
Is there a time limit for restoring deleted emails in Data Management?
No, there is no time limit. The administrator can search for all historical emails in Data Management and restore the deleted emails.
Will the recipient be notified when an email is deleted?
No. The email is deleted from the recipient's mailbox and no notification is sent.
When the administrator deletes an email, can the action be canceled?
Yes. The administrator can restore a deleted email from the same page where the email was deleted.
Can emails sent to a mailing list be deleted?
Yes. The administrator can search for the mailing list address and then delete the emails.
As an administrator, can I view the size of email attachments?
No, you cannot view the size of email attachments in the Admin Console, but can only view the size of the entire email. On the Data Management page, right-click to expand the details page to find the Size field.
